A holistic cycle in event management

Every ecosystem is defined by its components working together in harmony, complementing each other. This principle applies in nature, where flora and fauna create an ecological system, and it also holds true for technological ecosystems, where components are finely tuned to work together. For instance, the smartphone ecosystem comprises hardware, an operating system, an app store, and individual applications. Similarly, e-mobility exemplifies how vehicles ("hardware"), automotive software, and charging stations come together to form a cohesive system.

In ExpoCloud, four central elements make up your ecosystem for event management: Firstly, there are experts who act as project managers, offering advice and assistance to bring your individual ExpoCloud configuration to life. The second component is a sophisticated, proven, and reliable cloud software that allows you to plan, execute, analyse, and optimise your events online at any time. Thirdly, modular exhibition systems from internationally leading manufacturers (e.g., beMatrix, Octanorm, Pixlip) are available for rental within the ecosystem and are delivered across Europe. Fourthly, a refined logistics operation, organised from the service hub in Alsdorf near Aachen, ensures that your custom rental exhibition stands arrive safely and are assembled upon request.

Overview of the variety

Naturally, every ecosystem is complex, extensive, and multifaceted. To give you a clear view of the opportunities available, the following overview lists all the software modules, event services, and business units that elevate ExpoCloud to the new standard in event management. You will benefit from a unique event efficiency that unlocks unprecedented potential throughout the entire event management cycle.

The following overview displays all options.

The event cycle remains consistent, whether for large or small events: it involves the four phases of Planning, Executing, Analyzing, and Optimizing. This cycle replaces the earlier linear thinking, where events were viewed merely as a "project" involving only the two steps of Planning and Executing.

Paradigm shift as a success guarantee

The ExpoCloud ecosystem is based on three central premises, each representing a paradigm shift:
  • From Project to Process – Rather than evaluating individual events, you assess your entire live communication strategy.
  • Renting Stands Instead of Buying – You prefer to use your exhibition stands rather than owning them.
  • Renting Software Instead of Buying – You opt for a cloud-based software solution without the need for installation, maintenance, or upkeep.

ExpoCloud offers high-quality modular exhibition stands for rent. Systems that might be too costly to purchase, especially for smaller events, are therefore available in a cost-effective and flexible manner. By renting, you avoid capital investment and depreciation, expand your budget flexibility, and support sustainability goals by reducing the need for constantly producing new stands.

"Event as a Service": Modernity, automation, future

Today, cloud-based software solutions are the norm. For instance, the operating system "Microsoft 365" or "Office 365" is a familiar example. The term "Software as a Service" captures the essence perfectly. ExpoCloud's software operates on the same principle, offering you "Event as a Service": within the ecosystem, extensive event services are available, which can be easily, quickly, and efficiently booked in the cloud.

These services cover every need throughout the event lifecycle and are supported online. It is a modern, innovative solution that digitally automates tasks that previously had to be handled manually. Software acts as the catalyst for your event success, with ExpoCloud serving as your efficiency booster, elevating event organisation to a new level. This results in a "Managed Service" that is unmatched in the industry: while traditional exhibition builders often provide only a tool to support administrative processes, ExpoCloud offers a holistic ecosystem that serves as the "thoughtful core" of your future event management.

Analysing and optimising with valid data

To analyse events objectively, rationally, and impartially, you need empirical data that is valid. This is where the ExpoCloud software module "Analytics" comes into play, providing you with extensive data in real-time—much like "Google Analytics" does. Reliable data is presented in clear diagrams, offering the best foundation for enriching your business intelligence and event controlling.

"Analytics" is divided into two areas: Business Analytics (BA) and Reporting. With BA, you can analyse various questions live, such as:

  • What is the revenue distribution of advertising materials, shipping, and assembly services?
  • What does the article rotation look like (turnover of your own materials)?
  • Which items are critical (low stock)?

Reporting delivers individually pre-configured tabular overviews of specific issues: For example, you can view the shipment of advertising materials day by day, allowing you to precisely monitor stock levels. If the "Minimum Inventory Level" is exceeded, additional stock needs to be ordered.

“Event-Metrics”: Measuring visitor flow, enhancing event insights

For each event, you can add the "Event-Metrics" technology to the Analytics module: This solution, developed in Germany, consists of small sensors that can be integrated into any stand. For instance, they can be placed in drawers, counters, or exhibits, allowing the sensors to measure visitor numbers on and around the stand—completely in compliance with GDPR regulations.

You gain concrete, reliable data that intricately shows visitor flow, expanding your business intelligence with a valuable new source of insight. You can answer questions such as:

  • Which exhibits attracted more visitors than others?
  • What were the visitor numbers at different times of day?
  • How many repeat visitors were there?
  • Which content captured the most attention?

“Big Knowledge” from Big Data for continuous event optimisation. Gut feelings are yesterday’s news—Event-Metrics is today’s reality.
