Analysing events: Fairs as knowledge providers

There is no doubt: in the events industry, you will easily find numerous exhibition builders who understand how to plan and construct trade stands. You may also come across smaller software tools that simplify certain ordering processes. However, a “tool” is far from being a comprehensive ecosystem with integrated web-based software.

What makes ExpoCloud the new standard in event management is its significantly greater customer benefit, as it allows for the measurement and valid analysis of events. These valuable data generate additional insights that you would otherwise not have. ExpoCloud includes the "Analytics" module, which provides business intelligence and customised reporting at the touch of a button.

Additionally, for every event, whether large or small, you can opt for the German-developed measurement technology "Event-Metrics", which allows you to measure visitor flows with precision. For example, you will always know which graphics, exhibits, or digital content have attracted attention, or you can identify repeat visitors. – Naturally, this is in compliance with GDPR, as the ExpoCloud ecosystem as a whole adheres to the strict requirements of German data protection, and this also applies to the specific technology of Event-Metrics.

More knowledge. More success. More conviction.

Everyone in your organisation involved with your live communication, whether actively or passively, will benefit from the Analytics module and Event-Metrics measurement technology. This is because data for all events are readily available and possess significant value: you derive "Big Knowledge" from Big Data and present numerical values that concretely demonstrate event successes. Thus, what might initially be a "gut feeling" quickly becomes certainty. Professionals in marketing, sales, and recruitment utilise empirical data that is available at the touch of a button in ExpoCloud.

The Analytics module is divided into two areas: Business Analytics and Reporting. The first area includes graphical representations of traditional business intelligence metrics: you can, for example, view in real-time how your exhibition budgets are allocated or what material turnover has occurred (item rotation). Reporting consists of pre-configured Excel files that are individually created and integrated by the ExpoCloud Reporting Service for you. Exhibition reporting in seconds.

Event-Metrics: Making the invisible visible

At all events, the personal touch has always been and remains the most important value of all: live communication consistently convinces because your organisation can interact live and informally with customers, partners, candidates, etc. Generally, conversations held are referenced when assessing the success of an event. The number and quality of these conversations are important indicators – however, this knowledge can be easily and reliably expanded!

Once you add Event-Metrics to your ExpoCloud for an event, very small measurement devices are invisibly placed at the stand to illuminate your entire exhibition area. The sensors capture signals from all mobile devices within the illuminated area that are switched on. From this data, knowledge sources are created that greatly expand your exhibition analyses. Event-Metrics makes visitor flows, dwell times, and "hotspots" visible – insights that would otherwise remain hidden.

Quality assurance: Transparency for analytics

In your ExpoCloud, a review option is always available: you can evaluate the three logistical exhibition services – the advertising materials, shipping, and assembly services. These review data are also incorporated into the array of options when you want to analyse your events as comprehensively and fact-based as possible. This form of quality assurance actively involves all ExpoCloud users, ensuring that specific experiences contribute to the overall knowledge, which is of high significance.

Calculative precision is always right

From your practical perspective, two calculative questions are significant:

  1. Which modules and services of ExpoCloud am I using, and how many licences do I have?

  2. What are the internal costs when event managers, marketing specialists, and/or external agencies use ExpoCloud?

The answer to the first question is simply the addition of individual rates, which are always transparently explained: ExpoCloud experts will provide all details in a personal conversation.

To your project team

To answer the second question, your ecosystem includes an add-on module explicitly developed to capture internal costs as well. Comprehensive event analytics involves many factors – and internal costs undoubtedly belong to them.

Keeping an eye on administration costs and material consumption

The add-on module "Internal Costs" provides clarity, transparency, and overview. On one hand, you can assign internal administration costs to each individual item in your ExpoCloud logistics cycle, making these costs visible. On the other hand, it is possible to generate internal cost reports based on material consumption.

Here’s an example: A corporation orders 5,000 pens from its promotional materials supplier, which are sent to the ExpoCloud logistics centre for use in upcoming events. The corporation has seven people authorised to request promotional items. Each pen is assigned a purchase value, in this case, one euro. This value is displayed in the system, but of course, not calculated. When person three orders 500 pens, the system displays a consumption cost of 500 euros; when person five orders 300 pens, 300 euros are documented, and so on.

This detailed breakdown allows you to systematically analyse your own promotional material consumption and precisely allocate internal cost centres. Data transparency is a part of controlling efficiency.
