1. New options for even more efficient article management

Previously, only WWM employees were able to make these adjustments, which caused additional work due to the necessary coordination and email communication. The new function relieves this process and gives portal administrators more control over their own article inventories - without having to rely on external support.


1.1. How does ExpoCloud specifically support portal administrators?

A clear and logical structure of items is essential to quickly find the right resources for an event. The new feature allows portal administrators to better organise their items and make adjustments in real time. The most important new features include

  • Editing existing categories: Administrators can directly customise the name, description, type and sorting of a category.
  • Assigning teams: It is possible to define which teams have access to a specific category.
  • Configure item features: Certain article properties can be switched on or off so that they are visible to users.
  • Move articles: Items can now be reorganised within existing categories using drag & drop.

 

2. Step by step: How to use the new functions

 

2.1. How does editing categories in ExpoCloud work?

The operation of this new function is intuitive. To edit an existing category, portal administrators navigate to item management within the ExpoCloud interface. A pencil icon appears next to each category. Clicking on it opens a window with the relevant settings:

  1. The name of the category can be customised directly.
  2. A description can be added or updated to make the categorisation of items more transparent.
  3. The type and sorting of the category can be customised.
  4. The ‘Contract’ field remains unchangeable to ensure that all categories remain linked to the correct contract account.
  5. Under Team assignment, you can define which user groups have access to this category.
  6. In addition, article features can be activated or deactivated to enable better filtering within the category.

After editing, simply click on ‘Save’ to apply the changes directly in the system.




2.2. Create new categories - even more structure for article inventories

In addition to editing existing categories, administrators can also create new categories directly in the system. This enables an even more individual organisation of article inventories. The process is similarly simple:

  1. In item management, there is a plus symbol at the top that can be used to create a new category.
  2. The relevant information such as name, description, type, delivery type and sorting are entered in the window that opens.
  3. The contract code is already pre-filled and cannot be edited in order to comply with data protection guidelines.
  4. The teams that are to have access to the new category can also be specified here.
  5. The new settings are saved and the category is immediately available.

To ensure that the new category can also be used, it must finally be activated in the top right-hand corner.



 

2.3. Move articles flexibly - effortlessly via drag & drop

Another problem that is solved with the new function is the time-consuming process of moving articles to other categories. Previously, such changes had to be requested via WWM. With the new drag & drop function, portal administrators now have the option of reorganising articles themselves.


The ribbed icon next to each category allows you to move items simply by clicking on them. If it is a sub-category, a confirmation prompt appears asking whether the item should be moved to the same level or as a sub-category. This function ensures that changes are made in a targeted manner and without unintentional reorganisation.

Each move is also accompanied by a confirmation prompt to avoid incorrect entries: ‘Do you really want to move item [XYZ] from category [A] to category [B]?’ The change is only applied after confirmation.
